Set up phases and advancement forms

Phases organize the stages of a training program. Your agency may call them steps or use another label. Administrators configure the phases, their display options, and the forms used to document advancement between them.

Configure the phases

  1. Open Admin → Training Programs.
  2. Select the intended program’s name or Settings.
  3. Open Phases.
  4. Add or edit each phase’s name, description, and expected duration.
  5. Review the phase-specific assessment and category-display options.
  6. Save the phase settings.

Phase duration is planning guidance in the demonstrated setup. Use your agency’s advancement process rather than assuming that the expected duration automatically moves a trainee to the next phase.

Review phase-specific assessments

Programs can differ in when ratings are recorded and how categories are displayed. Choose phase settings that match your training model.

For example, a program may omit daily assessments during certain phases. Review the resulting daily-record layout for each phase instead of assuming all phases use identical fields.

Create the advancement form

  1. Open the program’s Forms settings.
  2. Create or edit the form intended for phase advancement.
  3. Select the phase-advancement purpose.
  4. Configure its allowed starter roles, instructions, and fields.
  5. Select Save Form.

Connect forms to transitions

  1. Open Phase Advancements.
  2. Use Sync transitions from phases when needed to set up transitions from your phase list.
  3. Review each transition and assign the intended advancement form.
  4. Save any displayed changes.

Review all transitions after adding or changing phases. Different transitions can use different forms where offered.

Test advancement

For a practice trainee, open the Forms hub and select Advance Phase. Confirm the current phase, intended transition, and form displayed.

Complete the practice form and its configured approval workflow. Check the trainee’s resulting phase and the workflow history before using the setup for active trainees.

Change the phase label

Use the main program settings to change the displayed phase label if your agency uses a term such as Step. Save and review the affected pages.

An expected transition or form is missing

Check the phase list, transition setup, assigned form, form purpose, active status, and allowed starter roles. Ask support for assistance if the configuration appears correct but the advancement process is unexpected.
