Set up training alerts
Training alerts notify selected staff when a configured condition is met. Administrators can use alerts to identify training matters that need review, such as an NRT count, assessment threshold, phase milestone, or recorded training time.
Create an alert
- Open Admin → Training Programs.
- Select the intended program’s name or Settings.
- Open Alerts and select Add Alert.
- Choose the alert type and enter the threshold or other condition it requires.
- Choose in-app notification, email, or both where available.
- Select the intended recipients.
- Review the repeat settings and active status, then save.
Select recipients
Depending on the alert, recipient options may include named staff members, program administrators, and team supervisors. Review program assignments and team membership so that the alert reaches the people responsible for follow-up.
A program alert’s delivery settings are separate from an individual user’s workflow-email preference.
Understand repeat thresholds
Review whether the alert should notify recipients after every additional occurrence or after another full threshold is reached.
For an NRT count alert with a threshold of three:
- Every additional occurrence: Notifications occur at counts of 3, 4, 5, and so on.
- Each full threshold: Notifications occur at counts of 3, 6, 9, and so on.
Use the options offered for the alert type you are configuring. The timing and conditions for other alert types may differ.
Test the alert
Use a practice trainee to create records meeting the intended condition. Complete the approval steps relevant to the alert, then check the intended recipients’ in-app notifications and email as configured.
An NRT count alert may be evaluated when the qualifying DOR is approved. Do not expect every alert to be delivered immediately when information is first entered.
Review and follow up
When an alert arrives, open the related training information and review the underlying records. Follow your agency’s procedures for documenting concerns, arranging additional training, or taking other action.
An expected alert did not arrive
Check the correct program, alert type, threshold, repeat setting, active status, recipients, and delivery methods. Confirm any relevant record approval has occurred. If the settings appear correct, contact support with the alert details and the records you expected to trigger it.
