Create shared program narrative templates

Shared templates give staff reusable text for narratives and category comments. Administrators can provide consistent prompts that help FTOs and CTOs document the information your agency expects.

Shared program templates are separate from the personal templates users manage under My Profile.

Open the program’s templates

  1. Open Admin → Training Programs.
  2. Select the intended program’s name or Settings.
  3. Open Templates.
  4. Select Add Agency Template.

Create the template

  1. Enter a clear name that staff will recognize in the template picker.
  2. Choose where the template should be offered: DOR narratives, event narratives, category comments, or a combination.
  3. If you choose category comments, select the categories where the template should appear.
  4. Enter the reusable text.
  5. Save the template.

For example, a daily narrative template could prompt the trainer to describe the activity, the trainee’s actions, feedback provided, and follow-up training. Staff should complete those prompts with facts from the actual day.

Choose placements carefully

A template only needs to appear where it is useful. A prompt for an event narrative may differ from a daily summary or a comment about a particular assessment category.

When selecting category-comment placements, include each intended category. Do not assume that choosing the category-comment option alone makes the template available in every category.

Review how staff will use it

  1. Open a practice trainee’s record as a user who can edit the intended field.
  2. Select Insert Template.
  3. Locate the shared template and insert it.
  4. Review the complete field, including any text already present.
  5. Confirm the wording and placement are appropriate, then use the page’s save controls or check its save status.

Before rollout, test insertion into a field that already contains text so staff understand any replacement choice and can preserve their existing information.

Maintain useful reusable wording

Keep individual trainee names, incident details, and predetermined performance conclusions out of shared defaults. Review templates when your agency’s documentation requirements change.

If a template is missing from a field, review its placements, category selections, and any active setting shown in the template editor.
