Build a training program checklist

Administrators can create checklists for tasks such as first-day requirements, equipment issue, or review of agency procedures. A checklist contains categories and items, with completion steps and sign-off requirements that match your process.

Open checklist settings

  1. Open Admin → Training Programs.
  2. Select the intended program’s name or Settings.
  3. Open Checklists.

Create the checklist

  1. Select Add Checklist.
  2. Enter a name that explains its purpose, such as "First day on the job" or "Uniform issue."
  3. Choose the completion columns the checklist will use.
  4. Select the option that represents the final completion step.
  5. Save the checklist.

For example, a checklist could use Issued and Reviewed columns. Choose labels that describe the actions your staff actually perform.

Add categories and items

  1. Add at least one category to organize the checklist.
  2. Add an item under the appropriate category.
  3. Enter the item’s wording and display order.
  4. Review the completion options available for that item and its final completion option.
  5. Set whether the item is required, whether the trainee must sign off, and whether supervisor approval is required.
  6. Review the active setting and save the item.
  7. Repeat for the remaining items.

Individual items can have different completion options and approval requirements. An equipment item might require trainee acknowledgment, while an administrative task might require staff completion only.

Review the completed setup

Open the checklist for a practice trainee. Confirm the categories, item wording, order, and completion columns. Test the required staff, trainee, and supervisor actions with the appropriate test roles.

Designating a final completion column does not remove any separately required trainee acknowledgment or supervisor approval. An item can remain pending until those actions are finished.

Change the available completion labels

Manage the program’s checklist labels under Checklist Completion Options or its equivalent completion-options tab. Then return to the checklist or item to select the options it should use.

Review changes to an existing checklist

Before changing a checklist already used for training, review the affected items and existing completion records with your agency’s program administrator. Contact support if you need help determining how to preserve the agency’s existing training history.
