Assign staff to a training program

Program staff assignments determine which training programs a staff member can work in and the role they have in each one. A person can have different roles in different programs—for example, FTO in a patrol program and supervisor in a communications program.

These instructions are for administrators who manage program access.

Locate the staff member’s account

  1. Open Admin → Manage Users.
  2. Find the staff member’s existing account.
  3. If the person does not have an account, create their user account before assigning them to the program.

Check for an existing account before creating another one.

Assign a program role

  1. Open Admin → Training Programs.
  2. Select the intended program’s name or Settings.
  3. Open the Staff tab.
  4. Select the staff member.
  5. Choose the role they need in this program.
  6. Use the displayed add or save control to record the assignment.
  7. Review the staff list to confirm the person and role are correct.

Repeat the assignment in another program only when the person needs access to that program. Review the role independently for each program.

Program roles and teams

A program role defines the person’s responsibility in that program. Team membership groups supervisors, FTOs, and trainees for program management, approval routing, or alerts where configured.

If your agency uses teams, review the person’s team membership after assigning their program role.

Review access when responsibilities change

When a staff member changes duties, review each affected program’s Staff list and update their assignments using the available controls. Also review any team membership or named workflow assignments connected to the old responsibility.

A staff member cannot see the expected program

Check that the correct user account is assigned to the intended program and has the appropriate role. If the assignment appears correct but access still differs from what you expect, contact DORWorks support with the agency, program, and affected username. Do not include the person’s password.
