Review, approve, and acknowledge a daily training record
After a daily training record is submitted, it follows the approval workflow configured for that program. Your agency determines the order of reviewers and the actions each person performs.
One workflow might move from FTO submission to supervisor approval and then trainee acknowledgment. Your program may use a different sequence or call the daily record a Journal.
Open work assigned to you
- Select the notification bell in the page header.
- Open the daily record assigned to you.
- Confirm the trainee, date, and program.
- Review the current workflow step and the actions available to your role.
Review as a supervisor
Read the assessments, comments, daily narrative, events, and supporting information. Review the record as a whole before deciding whether it is ready to move forward.
When the record meets your agency’s requirements, select the available approval action. If it needs changes, use the return action where offered and explain the corrections needed.
Returning a record is part of its workflow. Follow the current step and available controls rather than creating another record for the same day.
Acknowledge as a trainee
- Open the daily record when acknowledgment is assigned to you.
- Read the assessments, narratives, events, and comments.
- Discuss questions or concerns with your FTO or supervisor under your agency’s procedures.
- Use the acknowledgment action at the bottom of the record when you are ready.
If acknowledgment requires a saved signature, create it under My Profile and return to the record. Follow your agency’s policy for what acknowledgment signifies.
Check completion and workflow history
Review the record’s status and workflow history to see the steps completed and any remaining actions. Completing your assigned step may leave the record waiting for another participant.
You can locate daily records through the DOR list or report available in your program.
Correct a submitted or completed record
Submitted or completed records may be locked against editing. If a correction is needed, contact an authorized supervisor or administrator. Users with the appropriate permission may have an Administrator Actions panel for returning or reopening a record.
A reopened completed record must go through the required approval workflow again. Its workflow history records the subsequent actions.
An action is unavailable
Check whether the record is currently assigned to you, whether your saved signature is required, and whether an earlier workflow step is still pending. Ask your administrator to confirm the program’s workflow and your permissions.
