Search a trainee’s training records

Use the Text Search report to find information in a trainee’s training records without opening each record individually. For example, you can look for a location or a distinctive term you remember from a narrative.

The report and records available to you depend on your access.

Search training records

  1. Open Dashboard and select the correct active trainee.
  2. Open Reports and select Text Search.
  3. Enter a word or phrase associated with the information you want to find.
  4. Review the available record-type checkboxes and select the types you want to search.
  5. Select Search.
  6. Review the results and select Open beside a matching record.

Read the original record and its surrounding information to confirm that it is the entry you need.

Choose useful search words

Start with a distinctive term, such as part of a location or a word likely to appear in the narrative. If you do not find the entry, try fewer words or another term that may have been used.

No results or an expected record is missing

  • Check the trainee: Confirm that the active trainee is the person whose records you want to search.
  • Check the record types: Make sure you selected the relevant types before running the search.
  • Check the wording: Try another spelling, a shorter phrase, or a different distinctive word.
  • Check your access: Ask your agency administrator if you cannot access a record you expect to see.

Use and share the information you find according to your agency’s procedures for training records.
