Managing Alerts

Who this is for

Agency administrators and program admins who configure when staff are notified about trainee performance or milestones in a training program.

Alerts are configured per program, not on individual user profiles.

Where to find it

  1. Open Programs and select your program.
  2. Open the Alerts tab in the program hub.

Program admins who are not full agency administrators can open the program hub for their program and see the Alerts tab only.

What alerts do

Alert rules watch trainee data when an FTO approves a DOR (or when a DOR completes workflow approval, if your agency uses that). When conditions are met, DORWORKS notifies the people you choose.

Each rule can send:

  • In-app notification — shows when the recipient is signed in (notification list at the top of the page). Clicking the notice opens the linked trainee report and clears it from the list.
  • Email notification — sends an email with the same summary and a link.
  • Sticky indicator (optional) — after the rule fires once for a trainee, keeps a visible flag on that trainee until you clear it (useful for follow-up).

You can turn on email only, in-app only, or both. At least one recipient is required.

Alert types

When you click Add alert, pick one type. You can create multiple rules (for example, one for NRT count and one for low averages).

Type What triggers it
NRT count Approved Not Responding to Training (NRT) entries for the trainee reach your count (default 3). Optional: notify on every additional NRT after the threshold, not only when crossing round numbers.
Specific rating On an approved DOR, the trainee receives a rating in a chosen category that is at or below (or exactly) a value you set.
Low average rating The rolling average over the last N approved DORs falls below your threshold.
Tag frequency Tag points from a selected tag on the program exceed a threshold across the last N approved DORs. Tags are managed on Program → Tags.
Training time Logged training minutes reach a threshold — either all training minutes or minutes in one rating category. Requires training time tracking on the program.
Phase milestone In a chosen program phase, the trainee reaches shift hours and/or a filed DOR count you set (calendar weeks are not used). Set at least one threshold.

Who gets notified

Under Notify, pick any combination:

  • Specific users — search and select one or more people.
  • Program roles — program admins, supervisors, or FTOs assigned to that program on Program → Staff.
  • Team supervisor(s) — supervisors on the trainee’s team(s). Requires teams: assign supervisors and trainees on Program → Teams first.
  • All team staff — supervisors and FTOs on the trainee’s team(s).

Add or edit a rule

  1. Add alert → choose alert type.
  2. Enter an Alert name staff will recognize (for example, "NRT — notify supervisors").
  3. Set ActiveIn-app notification, and Email notification as needed.
  4. Optionally enable sticky indicator on the trainee.
  5. Choose recipients and fill in the condition fields for that type.
  6. Save alert.

To change a rule, click Edit on the row. Use Disable / Enable to pause a rule without deleting it, or Delete to remove it.

NRT alerts and My Profile

NRT threshold alerts used to be configured on My Profile. They now live here on Program → Alerts. Create an NRT count rule per program that needs them.

My Profile → Notification preferences only controls workflow email (DOR approvals, form sign-offs, etc.). It does not turn program training alerts on or off.

Backup and copy between programs

On Program → Export, optional section Program alert rules includes alert configuration in the setup ZIP. Import through Programs → Import setup when copying a program template.

Tips

  • Name rules clearly — the list shows name, type, recipients, and channels.
  • Use low average for early warning; use NRT count when you care about formal NRT totals.
  • Test with a practice trainee and approved DORs before relying on alerts in production.
  • If team-based recipients never fire, confirm the trainee is on a team with the right supervisors or FTOs assigned.
