Completing a program / trainee offboarding

Who this is for

Agency administrators when a trainee finishes training, leaves early, or you need records for retention.

  1. Confirm training documentation is complete
  2. Export trainee archive ZIP
  3. Complete program
  4. Update user access level / staff roles on Manage Users

Complete program

Trainees → enrollment row → Complete program → Mark program complete.

Outcome: Successful, Early termination, Withdrawn, or Other. Add Notes when required.

Sets enrollment completed, end date, and deactivates trainee role in that program. Records remain.

Does not auto-promote to FTO — update Manage Users and Program → Staff separately.

Mistake? Reopen program on a completed row.

Cancel enrollment (before any DOR)

Cancel enrollment & refund credit — wrong enrollment only, no DORs filed. Not for finished training.

Export training file

Trainees → Export → Generate archive.

ZIP includes DOR PDFs, attachments, forms, checklists, objectives, reports, and related materials. Notification when ready; download from history.

Downloads expire after 30 days — save offline for records.

Trainee profile and files

  • Profile — printable trainee sheet from Trainees row
  • Reports → Trainee files — enrollment document storage

After completion

Situation Action
Promoted to staff Raise access level; assign Program → Staff
Left agency No login per policy; contact support for deletion requests
Another program Enroll on Trainees (uses credit on pay-go)

Data retention

Automatic purge after completion is configured by DORWORKS (contact support). Full deletion requests: support@dorworks.com.

Offboarding checklist

  • DORs/forms/checklists complete
  • Archive exported and saved
  • Program marked complete
  • User roles updated
