Enrolling and managing trainees

Who this is for

Agency administrators. Training records begin at enrollment — an account alone is not enough.

Before you enroll

  1. Create user on Manage Users
  2. Configure program in Program hub
  3. Add staff + welcome emails
  4. Buy credits on Billing if needed (pay-as-you-go)
  5. Practice with John Doe

Enroll a trainee

Trainees → Enroll trainee

  1. Select existing Trainee user
  2. Select Program
  3. Start date (optional notes, teams)
  4. Enroll & use credit (pay-go) or Enroll trainee (annual)

Promo codes are entered on Billing when buying credits — not on this form.

Common errors

Issue Fix
No credits Billing → Buy credits
Duplicate enrollment Complete existing enrollment or pick another program
User missing Create on Manage Users first

John Doe (practice)

  • Sandbox trainee — no credit when enrolled
  • Enable per program: Program → Settings → Show practice trainee
  • Reset John Doe clears test data — not for live trainees

Manage enrollments

Action When
Complete program Training ended — deactivates trainee role in that program
Reopen program Undo mistaken completion
Cancel enrollment Before any DOR — refunds 1 credit (pay-go)
Profile Printable trainee sheet

Edit account details on Manage Users, not Trainees.

Complete program

Complete program → Mark program complete

Sets enrollment completed; records remain. Choose outcome and notes when required.
