Creating and completing a DOR

Who this is for

FTOs, supervisors, and program admins. Each DOR belongs to one program enrollment — confirm the active trainee on Dashboard before you start.

Before you start

  1. Open Dashboard → Active trainee.
  2. Select the trainee (optional Team filter).
  3. The app remembers this enrollment for New DOR, checklists, objectives, and reports.

Any FTO in the program may work with any trainee in that program unless your agency policy says otherwise.

Start or resume a DOR

New DOR

DORs → New DOR (also from Dashboard or All DORs → New DOR).

  • If a draft exists for today: Continue today's DOR or Continue DOR from [date].
  • Otherwise fill Start new DOR: DOR #, optional Day #, Date, Training week, Phase, Shift, Location / beat, Hours worked, Tags.
  • Click Create DOR.

Resume

  • Dashboard → Continue DOR #…
  • All DORs — open In progress
  • New DOR — continue prompts when drafts exist

The DOR editor

Status Meaning
In progress Draft — editable
Submitted In approval workflow
Reviewed Mid-chain approval
Complete Fully approved

Most content autosaves (Saving… / Saved in the header). Use Edit DOR header to change date, phase, shift, location, or tags. Download PDF exports the DOR.

Ratings tab

Shown when the trainee's phase uses daily assessments. Typical columns:

  • Category, Rating, N.O. (not observed)
  • NRT — needs remedial training (when enabled)
  • Comment — may be required for certain rating levels

Use + on a category to quick-add an event. Open scale/definition modals from links on the tab.

Events tab

Tab title follows your program (often Events or Shift Activities).

  • Add → Add [Event]: task, date/time, reference #, narratives, categories, ratings, attachments
  • Edit / Delete on each entry

Your program may require categories, ratings/NRT per category, or participation levels on every event.

Narrative and files

  • Daily narrative and optional satisfactory fields autosave.
  • Optional Most satisfactory / Least satisfactory fields may appear below the narrative.
  • Insert template… for narrative snippets
  • Files at bottom — drag and drop attachments

Use Insert template… to pull agency or personal text snippets into narrative or comment fields. Choosing another template adds it after the text already in the field.

Attachments

Scroll to Files at the bottom:

  • Drag and drop or click Drag and drop files here, or click to choose
  • Attachments save immediately to the DOR

Submit for approval

Before Sign and Submit for Approval:

  • Signature saved on My Profile
  • You are the evaluating FTO (or agency admin)
  • Required rating comments filled
  • DOR approval workflow configured under Program → Workflow

After submit the DOR is read-only until returned. Supervisors use DORs → Pending Review → Review.

Supervisor review

The workflow panel shows Current step: [step name] with actions such as:

  • Approve / Acknowledge (label depends on step type)
  • Return to prior approver (optional note)
  • Comment (optional)

Multi-step workflows may pass through Reviewed before Complete.

When the chain finishes, status is Complete. NRT entries on the DOR then count toward NRT reports; admins with NRT early-warning email enabled may receive alerts.

Return for corrections

If a step returns the DOR, the FTO sees Returned for corrections, edits the draft again, and uses Sign and resubmit when fixed.

Agency admins on a completed DOR may use Administrator actions → Return to creator for corrections in rare cases.

Trainee view and acknowledgment

When the program allows (Program → Settings):

  • Trainees may view submitted DORs (and optionally drafts in progress)
  • A workflow step may require the trainee to Acknowledge after supervisor approval

Trainees open DORs from DORs → All DORs on their menu.
